Capture & Upload Rules

A simple capture routine that protects people and keeps your project record useful.

Before your first capture

Supply the current GA drawings and confirm you have authority to use and share them. We will prepare the record, agree pins, the capture route, compatible camera, submission method and issue schedule with you. Follow site access, induction and safety requirements.

Permission and privacy

You must have authority to photograph the site and provide the photographs and drawings for the agreed service. Inform affected people appropriately and establish the applicable lawful basis for personal information. Site permission and data-protection obligations are separate.

Capture the works, avoiding people wherever possible. Aim to photograph areas while they are clear. Avoid faces, name badges, vehicle registrations, computer screens, confidential documents and security information. A 360-degree camera records behind and around you as well as in front.

If a person or sensitive detail appears

Flag the file and affected area before submitting it. We will agree whether it needs blurring, other redaction or a retake before issue. Redaction must be agreed as part of the service, and a hidden face does not always make someone unidentifiable. Any additional redaction scope or cost will be agreed first.

Do not deliberately capture sensitive personal information or use this service to monitor individual workers. If that kind of recording is proposed, stop and contact us so the scope and requirements can be assessed.

Capture and submit

Follow the agreed pins in order. Keep the camera steady and lenses clean, and avoid obstructing either lens. Do not enter an unsafe area to complete a pin. Flag missed locations and retakes so we do not assume file order equals location.

Keep your original files. For Report Only, export stitched panoramic JPEGs and provide a clear file-to-pin list. Check your image quality and location references before submission. For managed packages, keep original filenames. Use the agreed compatible format and submit to the correct project. Managed packages include organising and converting supported files. Report Only uses your prepared JPEGs. Unclear images may require a new capture. Contact us to agree the file-transfer method before sending project files.

Review and sharing

Tell us which recipients may access the record. Review project details and flag incorrect pins or sensitive content promptly. Share only the appropriate issue with authorised recipients; public demonstration pages have no access protection.

Marketing use is separate from private project reporting. We will seek separate written approval before using client material on the public website, in a portfolio or on social media, and check the position for identifiable people. Removing a project name alone does not anonymise its imagery or drawing.

Questions or removal requests

Contact hello@projectlens360.co.uk with the project, capture identifier and concern. Avoid sending additional sensitive copies unless needed. We will assess whether to withhold an issue, redact material, restrict access or request a retake.
